Keep Shared Notes with the People Involved

Even when you keep meeting decisions and observations from your work in personal notes or chats, people who join later may struggle to understand how things reached their current state. In Accelflow Space, you can create a Workspace for each group of people involved and keep shared notes in one place.

1. Create a Workspace for each project or department

For example, create a “New Product Project” Workspace for a product launch and a “Sales Department” Workspace for ongoing information sharing within the department. Invite the relevant people to each Workspace and set who can view or edit its content. This keeps notes with different topics and participants in the right shared space.

2. Record decisions in a shared note

After a regular project meeting, create a “September Meeting Notes” note in the project's Workspace. Use headings to organize decisions, open questions, owners, and tasks to complete before the next meeting. Keep handover notes and operating procedures in separate notes in the department's Workspace.

If you started organizing your thoughts in your personal Inbox, review what you want to share, then copy or move the note to the appropriate Workspace. Choosing where to share it lets you keep personal drafts separate from content the team uses. This is useful for daily updates or reports that you prepare individually before sharing.

3. Work from the same note

People involved can open the note from the Workspace to check decisions and their tasks. When new information comes in, members with editing access can update the note, and people who join later can follow the history of the work.

Give each project and department its own shared space. That gives everyone a clear place to start looking for the information they need and helps the team refer to the same content.
